Resolving a Historical Customer-Account Data Issue

An evidence-led investigation and controlled remediation of a pre-existing data problem inherited from another website provider.

Digital Flair was asked to help an established UK e-commerce business after a customer reported seeing historical information that should not have been associated with their account.

The website had originally been built and managed by another provider. Digital Flair had not created the affected system or historical data; we inherited the website after handover and were appointed to establish what had happened, determine the extent of the issue and resolve it safely.

The situation

A sensitive report required evidence, not assumptions

A customer-account concern can have implications for the affected individuals, the organisation and its data-protection responsibilities. It was therefore important not to treat the report as an isolated display problem or make unsupported assumptions about its origin.

The immediate questions were practical and evidence-led:

  • Could the reported behaviour be reproduced?
  • Which historical records were affected?
  • When had the incorrect associations been created?
  • Was the current website producing new mismatches?
  • Could the exposure be removed without deleting legitimate commercial records?

The investigation

Reconstructing the historical position

To distinguish the inherited data from later website management, Digital Flair created a controlled investigation environment using historical website files and database records supplied from the previous hosting arrangement.

    A separate sandbox was prepared from historical files and data so the original behaviour could be examined without affecting the live business.

    Reproduce

    The reported account behaviour was reproduced within the historical environment, demonstrating that the incorrect associations existed before Digital Flair took responsibility.

    Measure

    Relevant order ownership, account identity and billing information were compared to identify the affected historical cohort and understand its timing.

    Cross-check

    The results were validated using more than one indicator rather than relying upon a single account field or assumption.

    Assess current behaviour

    Current processes were reviewed separately. The available evidence did not indicate that the live system was continuing to create new mismatches.

The findings

A historical data-association problem—not a newly introduced fault

The investigation identified a defined group of historical transactions whose customer-account associations did not agree with the underlying customer information.

The issue predated handover

It was independently reproduced using a historical copy of the website and database from before Digital Flair managed the service.

The analysis separated the relevant historical records from the wider body of legitimate customer and order data.

Current behaviour was assessed separately

No evidence was found that the current website processes were generating new instances of the same mismatch.

Evidence limits were documented

The report distinguished confirmed findings from matters that could not be established conclusively from the historical evidence available.

Digital Flair did not attribute a precise historical mechanism where the evidence could not support that conclusion. Clear limits are an important part of a credible technical investigation.

Controlled remediation

Remove the exposure while preserving legitimate records

Deleting the affected transactions was neither necessary nor desirable. The business still required its legitimate order, billing, shipping, administrative and accounting history.

Digital Flair therefore developed a targeted remediation that removed the incorrect customer-account relationships while retaining the underlying commercial records.

The result

A verified resolution with business records intact

The incorrect customer-facing associations were removed, preventing the affected historical transactions from appearing within unrelated customer accounts.

The underlying transactions and the information required for legitimate administration, accounting and historical reference were preserved. Post-remediation validation confirmed the intended customer-facing result without identifying an adverse impact on normal administration.
